The Fixed Assets / Inventory Specialist is responsible for managing and maintaining records of the university’s fixed assets and inventory. This individual ensures accurate accounting and reporting of all fixed assets and inventory in accordance with applicable policies and procedures.
Job Duties:
- Maintain the fixed asset and associated depreciation schedules on accounting software; ensure proper recording of new purchases and disposals.
- Conduct regular physical inventory counts and reconciliations; investigate any discrepancies.
- Coordinate with various departments regarding procurement, receipt, tracking, movement, disposal, and inventory control of assets.
- Prepare audit schedules relating to fixed assets, and assist auditors in their inquiries.
- Work with the purchasing department to ensure that all invoices for fixed assets are appropriately approved.
- Record tagging of untagged furniture, fixtures, equipment (FFE) on campus; update FFE records regularly.
- Ensure compliance with all university policies related to fixed assets management.
Qualifications:
- Bachelor’s degree in Accounting or related field; Master’s degree or CPA would be preferred but not essential.
- Experience (3+ years) working within an educational institution setting in a similar role involving accounting for fixed assets/inventory management.
- Strong understanding of GAAP as it relates to property, plant & equipment.
- Proficient in relevant software applications such as Microsoft Excel.
