Hampton University seeks a highly motivated individual to fill the position of Administrative Assistant in the Office of the Executive Vice President and Provost. The successful candidate will provide essential administrative and clerical support in a fast-paced environment. Key responsibilities include responding to administrative inquiries, greeting visitors, and daily management of correspondence, among other administrative tasks. The ideal candidate will possess strong professional and customer service skills, along with the ability to multitask effectively.
Duties and Responsibilities:
· Perform general clerical duties to include, but not limited to filing, scanning, copying, mailing, etc.
· Greet visitors and answer the multi-line telephone at the front desk courteously and professionally.
· Prepare purchase requisition and reimbursement documents.
· Order office supplies and equipment.
· Set up and coordinate meetings.
· Distribute minutes of meetings.
· Manage day-to-day communications for the Division.
· Compose letters and memorandums.
· Manage correspondence with students, parents, and other constituents.
· Assist with maintenance of office equipment such as copiers, printers, shredder, etc.
· Type reports and other documents as needed.
· Assist with maintaining office records.
· Assist with coordinating Division-related activities.
· Assist with copying and/or delivering documents to Office Services for printing.
· Assist with copying and/or delivering documents to academic offices within the main campus.
· Maintain the reception area in a neat and organized manner.
· Assist with special programs/events in the Division as needed.
· Perform other duties as assigned by the Executive Vice President and Provost, Vice Provost and Executive Assistant.
Qualifications:
· Must have a high school diploma or GED and previous professional experience.
· Must be proficient in Microsoft Office Suite of products including MS Word, Excel, Access, PowerPoint, and Outlook.
· Must have effective communication and organizational skills.
· Be flexible and work well either alone or as part of a team.
· Be high energy and have a commitment to accomplishment.
· Perform multiple tasks and work effectively under pressure.
· Possess strong interpersonal skills.
· Provide services and accurate information in a courteous and timely manner.
