Project Coordinator- Atmospheric and Planetary Sciences

The Project Coordinator is expected to perform diverse administrative duties in support of the Department of Atmospheric and Planetary Sciences (APS). The Project Coordinator will provide administrative and grants management support for all assigned projects. The Project Coordinator is a full-time, 12-month employee who reports to the APS Chair and CAS Director.

Job Duties:

Administrative Duties:

  • Assist APS and CAS personnel in processing travel requests against assigned budgets. Prepare travel vouchers and audit travel receipts to ensure accuracy of charges.
  • Assist with student records, including international student documentation, student stipends and insurance, course registration and financial clearance processes.
  • Greet and assist students, faculty, staff, public and vendors in a professional manner while acting as first point of contact for the APS / CAS front desk.
  • Monitor and maintain office equipment, and supplies and submit orders as needed to control inventory relevant to reception area.
  • Manage departmental correspondence (including general email, phone, and written inquiries).
  • Assist in coordinating all external and internal reviews and science team meetings, including making physical meeting arrangements, preparing agendas, and arranging refreshments.
  • Perform other tasks as assigned.

Pre-Award Grants Management Duties:

  • Assist faculty/students and research teams and Centers with proposal development and subcontracts, including development of detailed, multi-year budgets and justifications to ensure compliance and effective post award administration.
  • Analyze and prepare budgets for many proposals simultaneously while interpreting and adhering to all necessary guidelines and policies.
  • Mathematically analyze, select, and apply the proper rules to accommodate the correct fringe rates, F&A (facilitates and administrative costs), tuition rates, and other direct costs for a proposal, including subawards.
  • Organize and consolidate the pre-award documents so they are current, complete, easy to query, and can readily transfer to post-award for fiscal management.
  • Prepare “just in time” and other post submission documents as needed by a wide range of sponsors including budget revisions and justifications.
  • Communicate regularly and effectively with faculty and support staff to provide proposal development advice/coaching and make any recommended or necessary changes to improve the compliance and competitiveness of proposals.
  • Remain current on Research Administration policies and changing regulations that will affect the College and researchers.
  • Work directly with the Office of Sponsored Programs to develop best practices and SOPs for the pre-award processes, as well as participate in discussions of how to maintain a culture of service and continual improvement.
  • Perform other tasks as assigned.

 Qualifications:

  • Experience with applying basic accounting principles to financial and general program management tasks is strongly desired. 
  • Experience working with students, professionals and executive personnel, and a friendly, outgoing, customer-oriented personality are essential.

Requirements:

  • This position requires a baccalaureate degree, and experience with word processing and spreadsheet software. 
  • The successful applicant must hold or be working towards achieving Certification Research Administrator (CRA) designation.
