Flight Scheduler/Transportation Specialist- Aviation

The Flight Scheduler/Transportation Specialist performs routine clerical and administrative functions such as drafting correspondence, coordinates student flight schedules, organizing and maintaining paper and electronic files, and providing information to visitors and callers regarding academic programs. This position primary responsibility is to transport flight student to and from main campus and the contract flight school locate at the nearby airport.

Job Duties:

  • Prepares invoices for Aviation Department and Flight School.
  • Managing the day-to-day operations of office activities.
  • Preparation of meeting agendas and meeting notes.
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Organizes work by reading and routing correspondence; collecting information; initiating telecommunications.
  • Maintains department schedule by maintaining calendars for department personnel; arranging meetings, conferences, teleconferences, and travel.
  • Completes requests by greeting customers, in person or on the telephone; answering or referring inquiries.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Keeps equipment operational by following manufacturer instructions and established procedures.
  • Works closely with the Flight Program Director and supports the Departments Flight Team,
  • Schedule Student Training Flights and Monitor/Relays Schedule Changes to Effective Students.
  • Conducts Daily Preventative Maintenance Inspections (PMI) for assigned vehicle.
  • Transport flight students to and from Hampton University and Rick Aviation multiple times daily

Qualifications: 

  • Some college or high school diploma with strong grammar, writing and organizational skills.
  • Must possess good interpersonal skills.
  • Must be organized and possess the ability to multi-task.
  • Must possess strong verbal and written communication skills.
  • Proficiency with Microsoft Office Suites and applications to include Excel.
  • Proficiency with BANNER is preferred, but not required.
  • Knowledge of aviation and/or flight schools is preferred.
  • Must process a valid driver’s license and good driving record

Requirements: 

  • Must have working knowledge and experience in the application/operation of Microsoft Office Suite software programs that go far beyond basic word processing. 
  • Work may include rotating shifts and some weekends.
