Administrative Assistant- Liberal Arts & Education

The successful candidate reports to the Dean of the School of Liberal Arts and Education. The Administrative Assistant will support the dean, assistant deans, and assistant to the dean with various administrative and clerical tasks relative to the day-to-day operation, management, and development of the School of Liberal Arts and Education. 

Job duties:

  • Manage front-desk operations, including fielding telephone calls and greeting/assisting visitors
  • Perform all clerical tasks, including typing; copying; scanning; electronic and hard-copy filing, inter-office deliveries and retrievals; retrieving, sorting, and sending mail
  • Maintain awareness of the dean’s calendar in Outlook and in print for meetings, presentations, reporting deadlines, and travel
  • Assist in the management of travel and accommodation needs for interviewees and school guests
  • Assist in preparation and set up for meetings, including School of Liberal Arts and Education, School Leadership Team, Mellon Leadership Team, Student Advisory Council, and all other meetings facilitated/organized by the dean
  • Prepare presentation materials and handouts formatted in Microsoft Word, PowerPoint, and Excel
  • Assist in the collection, compilation, review, submission, filing, and maintenance of reports/documents including essential information related to the School.
  • Assist in the collection, organization and inventory of all school and departmental marketing and resource materials
  • Collect and disseminate school-related information
  • Assist in the recording and preparation of minutes of meetings and conference calls
  • Assist with preparation and set up for events organized by the dean’s office and special projects as designated by the dean
  • Assist with preparation of requisitions and purchase orders and with following their progress through the Purchasing and Accounts Payable processes
  • Assist with maintenance and inventory of office supplies and equipment and with placement of orders when necessary
  • Research and provide information and referrals
  • Interface with repair personnel, delivery personnel, equipment/service providers, HU Trucking Services, HU Transportation Services, vendors, and the like
  • Ensure upkeep of all school buildings by collecting information on problems/needs and arranging repair/address through the Physical Plant
  • Maintain keys for all offices and rooms in all building occupied by departments and programs
  • Other duties as assigned by the dean, assistant deans, and/or assistant to the dean – per request of the dean.

Requirements:

  • Type with an adjusted speed of at least 55wpm
  • Perform tasks with the use of office equipment to include computers, copiers, facsimile, scanners, etc. and Microsoft Office (Excel, Outlook, Word, PowerPoint, etc.)
  • Prioritize, plan and organize multiple tasks and projects using organizational skills,
  • Work independently and as a member of a team.

Qualifications:

  • High School Degree or equivalent
