The Administrative Assistant will provide administrative and secretarial support to the for the Schol of Religion (HU-SOR) and Office of Chaplaincy and Religious Life (OCARL). The successful candidate reports to the University Chaplain & Dean of the School of Religion.
Job Duties:
The duties and responsibilities listed below are representative of the knowledge, skill, and abilities required for a seamless transition into this position. The successful candidate will be expect to:
- Perform general office tasks including answering the phone, scheduling meetings/calendar events, greeting visitors, file paperwork, maintain databases and records, update bulletin boards, and assist students, faculty and staff.
- Order and maintain office stationary supplies and inventory, copier/printer ink and paper, computer laboratory equipment monitors, printers and personal computer stations.
- Prepare and track purchase order requisitions, invoices, and other documents related to the HUSOR and OCARL budgets. Use Excel or other software to prepare budgetary spreadsheets.
- Prepare reports, memos, letters, financial statements and other documents, using word processing and/or spreadsheet software.
- Communicate with staff in other departments to ensure effective and efficient processing of office documents.
- Schedule and reserve the use of facilities for the Memorial Chapel activities and events.
- Pick-up, copy and deliver documents to appropriate offices on campus.
- Report Clarke Hall and Memorial Chapel facility maintenance issues and track completed jobs.
- Provide administrative and secretarial support for all department activities and events to include Sunday Services, the HU Ministers’ Conference, Campus Ministry functions and the School of Religion.
- Performs other duties as assigned for the betterment of the religious services to Hampton University and the community at-large.
Qualifications:
- Preferred associates degree with administrative and secretarial experience.
- Some college and 3-years of administrative and secretarial experience and or certification training, or an equivalent combination of education and experience.
- Skilled in the use of Microsoft Office Suite and Apple Applications
