The Executive Assistant, a pivotal role, will provide quality administrative and clerical support in a fast-paced environment to the Office of the Vice President for Advancement and External Engagement. The assistant will create, maintain, and enhance the relationships between the Office and the University. The successful candidate reports to the Vice President for Advancement and External Engagement.
Job Duties:
- Provides general clerical support, including answering telephone calls, data entry, scanning, and copying.
- Interfaces with other departments, delivery personnel, equipment/service providers, vendors, and visitors.
- Prepares and modifies documents, including correspondence, reports, charts, memos, and emails.
- Schedules and coordinates the Vice President’s meetings, appointments, and travel arrangements.
- Responsible for keeping inventory of all office equipment supplies and placing replenishment orders.
- Opens, logs, sorts, and distributes incoming correspondence and acknowledges as appropriate.
- Maintains electronic and hard copy filing system of office materials and personnel records.
- Assists in preparing presentation materials and other departmental projects as needed.
- Prepares requisitions and monitors budgets and expenditures.
- Assists and attends relevant local divisional and university events.
- Coordinates and manages applicant interview schedules and correspondence.
- Performs all other related duties as assigned.
Requirements:
- Associate’s Degree and minimum of five years of administrative/clerical experience preferred.
- Must be proficient in using Microsoft Office Suite, Outlook, and database software.
- Previous experience working in university development or higher education is a plus.
- Adheres to all University policies and procedures related to the Code of Conduct.
Qualifications:
- Professional demeanor, detail-oriented, adaptable, and capable of responding to multiple requests.
- Demonstrated ability to adapt to new technology; prior experience with Banner database is a plus.
- Ability to manage and prioritize time and duties efficiently while working with limited supervision.
- Strong organizational, customer service, interpersonal, written, and verbal communication skills.
- Ability to use discretion and maintain confidentiality of information and other related matters.
- Capacity to establish and maintain cooperative and effective working relationships with others.
