Project Assistant- Center for Atmospheric Science

Project Assistant will primarily provide administrative support for the sponsored projects in the Center for Atmospheric Sciences. The Project Specialist must give great attention to detail and accuracy, be able to prioritize a diverse set of tasks, have excellent oral and written communication skills, and conduct him/herself in a professional manner.  He/she must also be proficient with spreadsheets, word processors, presentation software, email and the Internet. The Project Specialist reports directly to the Center Director. This is a grant-funded position.

Job duties:

  • Grants Management – maintain detailed and accurate electronic and hard-copy records of all expenditures and account balances; prepare requisitions, budget transfers, and other necessary paperwork; track requisitions, budget transfers, student/staff/faculty contracts and other financial commitments against assigned accounts; reconcile accounts as least monthly; work with Business Office to ensure financial reports are completed and submitted in a timely manner; regularly report account balances to Principal Investigator (PI) and the APS/CAS Project Coordinator.
  • Interface with Hampton University staff as necessary to ensure that accurate records are kept in the campus Banner Accounting System and the Office of Grants Management.
  • Keep an accurate calendar of PI reporting, meetings and deliverables.
  • Provide post-award management of external grants including the review of award documents, coordination with HU Business Office and Office of Sponsored Program for grant accounting, and guidance for Principal Investigators in the administration of the award.
  • Assist Principal Investigators and Project Coordinator in interpreting college policies and funding agency requirements to ensure compliance.
  • Organize and maintain electronic grant files.
  • Provide formal and informal grant-related training to faculty and staff.
  • Coordinate the collection of time and effort reports.
  • Assist in the implementation and management of Cayuse software for research administration.
  • Proven ability to work with diverse constituents on and off campus.
  • Proven skills in relationship building and ability to work collaboratively across units.

Qualifications:

  • Bachelor’s degree with previous grant administration-related experience.
  • Ability to interpret and apply regulations, policies and procedures.
  • Ability to effectively communicate verbally and in writing with exceptional customer service skills.
  • Ability to work independently with a high degree of reliability, accuracy, and consistency to meet deadlines in a fast-paced environment with varying degrees of pressure.
